Our client is an IT multinational company with a well-established presence worldwide (Switzerland, Spain, UK and India).

- General secretarial and administrative support to operations and finance departments
- Taking incoming telephone calls, re-directing them and taking messages
- Calling contractors to follow up on queries/issues
- Ensuring contractor documentation is filed and updated
- Organizing business travel arrangements, booking transport and accommodation
- Calendar management, scheduling phone calls and meetings as requested
- Assisting the CFO to ensure relevant company procedures are followed according to the Employee Handbook and Company Standard Policies.
- Assisting with reconciliations, data gathering/structuring and other ad hoc tasks
- Ensuring the office always has an appropriate level of stationary
- Handling contact and coordination with building related contacts and suppliers (office decoration, cleaning, consumables etc.)
- Assisting with scanning and correct filing of office documents

- Fluent in English and preferably with a good level of all or some of these languages: German / French / Spanish / Catalan
- Attention to detail is a must
- Proactive
- Strong written and oral communication skills
- Excellent MS Office skills
- Excellent organisational skills
- Excellent interpersonal skills
- Honesty, reliability and punctuality
